Overview

The Project Coordinator (PC) is the focal point for the assigned project(s), providing expert input where required and engaging in constructive dialogue with all relevant stakeholders including the Project Management Office (PMO).

The PC organizes the ongoing projects assigned to him/her. This task involves ensuring adherence to relevant ISO 9001 requirements (Quality Management System), monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.

Key objectives / responsibilities of the role
  • Ensuring implementation of current ISO 9001 procedures related to project design, planning and implementation including completion of all required templates.
  • Maintaining and monitoring / revision of project plans, project schedules, work hours, budgets, and expenditures.
  • Developing project strategies.
  • Create a project management calendar for fulfilling each goal and objective.
  • Ensuring project deadlines are met.
  • Undertaking project tasks as required.
  • Assess project risks and issues and provide solutions where applicable.
  • Determining project changes.
  • Coordinate and oversee all relevant reporting procedures like financial and narrative reports in accordance with the agreed terms.
  • Manage budget and comply with all established procedures for financial management
  • Support / provide input for Monitoring and Evaluation (M&E) data collection.
  • Provide administrative support as needed e.g. handle all in- and outgoing correspondence.
  • External relations management including organising, attending, and participating in stakeholder meetings, representing the project / organisation.
  • Chair and facilitate (team) meetings where appropriate and distribute minutes to all project team members.
  • Preparing necessary presentation materials for meetings (plus agenda).
  • Documenting and following up on important actions and decisions from meetings.
Required experience To be successful as a PC, you will need to be able to be competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills. A bachelor's degree in a related field of study and at least three (3) years of relevant experience are required for consideration.
  • At least three (3) years professional experience in Coordination role including leading a team/line management of staff.
  • Experience working in an NGO or Solidarity group with vulnerable populations including complex safeguarding environments.
  • Experience working in a fast paced, volatile environment,
  • Exceptional verbal, written and presentation skills.
  • Fluency in English is required, Greek is desired, French, Farsi, Urdu, Pashto, Dari, Kurdish, Arabic is an asset.
  • Experience using computers for a variety of tasks including competency in Microsoft applications including Word, Excel, and Outlook.
  • Ability to work effectively both independently and as part of a team.
  • Ability to create a respectful work environment where an atmosphere of trust and integrity prevails, and everyone is accountable for one’s conduct and performance

  • Exceptional organizational skills, strong attention to detail and ability to multitask while working in a fast-paced environment.

  • Ability to work independently, effectively prioritizing workload and deadlines.
  • Ability to create a respectful work environment where an atmosphere of trust and integrity prevails, and everyone is accountable for one’s conduct and performance.
  • Desire to work in a solidarity organization.
